Lesson 2: Process vs. System

We often use the words process and system as if they mean the same thing. They don’t, and the difference explains why some ideas work across every store while others fail.
| Process | System | |
|---|---|---|
| What it is | A specific, repeatable set of steps to reach one outcome | The connected environment of people, tools and departments that the work runs through |
| Nature | Sequential (step by step) | Interconnected |
| Scope | Narrow, task-based | Broad, organisation-wide |
| Focus | Getting from A to B | How value is created overall |
A process is a path. A system is the environment that path runs through.
Example: a customer return
The process is: receive item → check receipt → approve refund → update inventory. The system is the POS software, ERP, finance and customer records that support those steps.
Which one do you need?
If a problem is limited to one specific task, build a process.
If the problem spans multiple people, tools or departments, build a system.
Key takeaway: GUIDE is our in-store sales process: the same steps, every time, with every customer.
